Welcome to the Soddy-Daisy Fall Festival Vendor Information Hub! This page will be regularly updated with all the essential information you need for a successful experience as a vendor at our event. Please bookmark this page and check back frequently for updates.

Vendor Setup:

Address: 190 Depot St, Soddy-Daisy, TN 37379

Entry Point:
Vendors MUST enter at Durham Street for setup.

Check-In:
All vendors must check in at the Keep Soddy-Daisy Beautiful Booth before setting up.

WiFi:
EPB has provided WiFi for vendors and KSDB volunteers at the festival. Please ask for the login information when you check in on Saturday before the festival. Please do not share the login information with the public so we can keep the system from being overloaded.

Provided Amenities:
Keep Soddy-Daisy Beautiful will allocate space for your booth only. Canopies, tables, and chairs are NOT provided and must be arranged by the vendor.

Vendor Spots:

  • Family-Friendly Requirement: This is a family-friendly event. All vendor booths must display only family-friendly and appropriate materials. Any content that does not meet this standard will not be permitted.
  • Space Allocation: Vendors are required to setup their booths a few feet away from the walking sidewalk. This ensures that pedestrians have ample space to stand and walk, particularly when the horse carriage is passing through. The added distance also facilitates smoother traffic flow during the event.
  • No Assigned Spaces: There will be no assigned spaces at the festival this year. Vendor spots are first-come, first-serve and will be marked on-site. A volunteer will assist you in finding an appropriate setup location if you have any issues.
  • Flag Removal: After setting up your booth, please remove the marking flags from your allocated space. A volunteer will come around to collect them.
  • Electricity: Electricity is available on a first-come, first-serve basis. Vendors must bring and secure their own electrical cords.
  • Safety: Vendors are responsible for ensuring their booths are free of public hazards, such as unsecured extension cords.
  • Operating Hours: Vendors are required to stay open until 3 pm and cannot break down their booth and leave until after 3 pm.
  • Weather Monitoring: We will monitor the weather and make announcements in case of any weather events that would require vendors to take down their booths early.

Vendor Setup Schedule:

  • Friday
    • 3 pm to 6 pm (day before setup)
    • There will be police presence and a vendor staying overnight at the park on Friday for security but we do not make any guarantees and it is ultimately up to you to secure your items.
  • Saturday
    • Setup starts at 7 am on Saturday. All vendors must be at the park no later 9 am and complete setup by 9:30 am on Saturday. Festival starts at 10am and some visitors will show up early, so it is imperative vendors are there by 9 am and setup by 9:30 am.
    • Late Arrivals: Vendors arriving after 9 am will be directed to an alternate location outside the main vendor area due to pedestrian safety concerns.

Vendor Parking:

Most vendors will be able to park near their booths in designated areas shown on the map above.


Important Information:

Important Notice: Policy on Free Food and Drinks (Excluding Candy)

To maintain a fair and equitable environment for all our food vendors, we have a strict policy against distributing free food or drinks to the public during the Soddy Daisy Fall Festival. This policy does not apply to candy, which vendors are welcome to distribute for free. Vendors are welcome to sell food and drinks, including items for donations, but free distribution of food and drinks other than candy is not permitted. We appreciate your understanding and cooperation in adhering to this policy.

  • Morning Dew: The grass may be wet on the morning of the event. Please wear appropriate footwear, such as rubber boots, and bring towels to protect your merchandise.
  • Weather: Fall temperatures can range from the 70s to 50s. Be prepared for varying weather conditions, including rain showers, as the event will take place rain or shine.
  • Volunteer Support: Event volunteers will be on hand to assist you with finding your space and addressing any other concerns that may arise on the day of the event.
  • Hydration: Bring a reusable water bottle. Water stations with filtered water will be available for volunteers and vendors. Plastic water bottles will not be provided.

2023 Soddy-Daisy Fall Festival Vendor, Exhibitor & Volunteer Terms and Conditions

By participating in the 2023 Soddy-Daisy Fall Festival, you acknowledge that you have read and agree to the following terms and conditions:

  1. Age and Competency: Participants must be over 18 years of age or have a parent or legal guardian’s consent.
  2. Released Parties: Refers to Keep Soddy-Daisy Beautiful, the City of Soddy-Daisy, and any sponsors, volunteers, or entities associated with the event.
  3. Event Details: The festival will be held on September 30th, 2023, from 10 am to 3 pm at Soddy Lake Park, Soddy-Daisy, TN.
  4. Liability and Risks:
    • Participants assume all risks associated with their participation.
    • Keep Soddy-Daisy Beautiful and associated parties are not liable for any injuries, damages, or losses incurred.
  5. Indemnification: Participants agree to indemnify and hold harmless the Released Parties from any claims, actions, or liabilities arising from or related to their participation in the event.
  6. Insurance: Vendors are required to carry their own general liability insurance and must provide proof upon request.
  7. Intellectual Property: Participants grant Keep Soddy-Daisy Beautiful the right to use any photographs, videos, or likenesses taken during the event for promotional purposes.
  8. Weather: The event will take place rain or shine. Participants should be prepared for varying weather conditions.
  9. Vendor Setup and Safety:
    • Vendors are responsible for their own setup, including canopies, tables, and chairs.
    • Vendors must ensure that their booths are free of public hazards, such as unsecured extension cords or other tripping hazards.
  10. Medical Consent: Participants are responsible for their own medical expenses and should carry appropriate insurance.
  11. Force Majeure: Neither party shall be liable for failure to perform its obligations due to events beyond its reasonable control, including but not limited to acts of God, weather events, or government restrictions.
  12. Dispute Resolution: Any disputes arising from these terms shall be resolved through arbitration in Hamilton County, Tennessee.
  13. Governing Law: These terms are governed by the laws of the State of Tennessee.
  14. Severability: If any provision is found to be unenforceable, it will be amended or removed, but the remaining terms will stay in effect.
  15. Entire Agreement: These terms constitute the entire agreement between the parties and supersede all previous agreements or understandings.

Pre-Event Confirmation & Special Requests:

A few weeks before the event, we will send out a “Final Attendance Confirmation” email, which will also include a form for you to submit any special requests or requirements. Please be sure to respond promptly to ensure we can accommodate your needs.
